The Conference receives its main financial support from a combination of the AIAA Foundation and contributions from industry. This support makes possible not only the cash awards for technical papers and the cost-free Conference event tickets and housing costs to school delegates.

A non-refundable registration fee of $40.00 for each student delegate must accompany the completed registration forms. Checks should be made payable to "AIAA Region II Student Conference". We do have a cancellation policy. We require that all cancellations occur by March 22, 2008. If you cancel after this date, there will be a $100.00 cancellation fee. Registration fees are waived for faculty attendees.

Professional delegates are welcome to attend the Southeastern Regional Student Conference. The registration fees are the same as those for the school delegates. However, professional members will be asked to pay the following fees for the optional events:

Monday Luncheon: $15.00
Tuesday Banquet: $25.00
Field Trip: $0

Hotel costs for professional members will not be paid for by the conference. Professional members will be included in the conference hotel room block but will need to pay the hotel directly for their room.

At conference registration, each delegate receives tickets for the events (luncheon, banquet, and field trip) which he or she chose on their registration form. There will be no reimbursal for transportation.

The hotel allotment is calculated by multiplying the number of school delegates staying in the hotel times the hotel allowance times three nights. This will cover the housing costs for Sunday, Monday, and Tuesday nights at the agreed hotel rate per night per person with four people per room. Each delegate is responsible directly to the hotel for the payment of his or her individual hotel bill (for incidentals).

The room rates for the 2008 Conference are $99.00 per night plus applicable tax (11%), or $109.89 per night. The conference will be paying for the cost of the rooms on a master account. Each student will be expected to give the hotel a credit card number for incidentals during their stay (phone calls, room service, etc). The conference will pay $82.42 per student delegate in each room (or, 1/4 of the room). If you choose to stay with less than 4 people in a room, you will be required to pay for a portion of the room. This payment will be due to AIAA (check or cash only) when you send your registration fee. Make checks payable to "AIAA Region II Student Conference". Faculty and Professional attendees will be required to pay 100% of their own room costs directly to the hotel ($329.67). The amounts per student delegate are as follows:

Per delegate cost for entire conference (3 nights)
One delegate in room: $247.25
Two delegates in room: $82.42

NASA Undergraduate Internship

New for 2008 Student Conferences

Based on the recommendations of each region’s student conference committee, the Student Paper Conference Chair(s) from each region may nominate one student (per conference) for a summer undergraduate internship at a NASA research center.   Student nominations must be from students who attended and participated in the regional conference as presenters or conference organizers.  Regions are encouraged to make the selection at the regional conference so that the selection may be announced at the conference awards ceremony.  Specific criteria for the selection is left to the Student Paper Conference Chair in coordination with the Chief Judge for the conference.  Along with the name of the student nominee, the Student Paper Conference Chair MUST include the student’s resume, the student’s paper, and a short statement of why the student was selected as that Student Paper Conference’s nominee.  NASA will use internal methods to select one student intern from the submitted resumes and work directly with the student to work out details of the internship.  NASA will also forward the name to the Chairman of the Student Conference Sub-Committee so that regions can be notified of the final selection.
